Group Medical Insurance Implementation and Switching

International group medical insurance implementation is the process of agreeing the cover, enrolling employees and confirming that members can use the policy from the agreed start date. Begin with an owner inside the business and a complete employee census. Ask the insurer to confirm its document requirements and expected processing time. Work back from the start date using those requirements. When you switch insurer, obtain written terms for pre-existing conditions and any waiting periods. Plan how open claims and treatment already in progress will be handled. Give staff the confirmed benefits and contact details before the new cover starts. A broker can help coordinate requests and track the insurer’s replies. 02 / Documents

What information will the insurer need?

Request a current document list for the employer’s location and product. Confirm the census fields and any company documents before gathering them. Ask each member to provide medical information through the route specified by the insurer.

03 / Continuity

Switching insurer at renewal: a continuity checklist

Keep the current policy in force while you obtain the receiving insurer’s decision and plan the change. Agree the exact end and start dates with the insurers before you arrange cancellation.

  • Ask the new insurer to confirm the accepted underwriting basis and treatment of pre-existing conditions.
  • Get a written answer for waiting periods, including whether any time already served receives credit.
  • Review the position for members receiving treatment and procedures already approved.
  • Record who will handle open claims and how members will contact that team.
  • Check dependant eligibility and the deadline for adding new members.
  • Confirm provider access and any new approval process staff must follow.

Insurers publish different rules for small groups. Allianz Care’s conditional MHD process for five to nine employees requires each person to complete a medical questionnaire before the underwriting decision. 04 / Broker appointment

Appointing a new broker for an existing policy

Ask the insurer whether it accepts the proposed broker appointment and which form it requires. Confirm when the appointment takes effect and which tasks the broker can perform. Keep the insurer’s response with the policy record.

What employees need before the start date

Give each member the confirmed policy details and explain how to get help. Include the claims contact and the process for seeking approval before treatment. Ask staff to check their personal details and report errors to the assigned scheme owner.

How many weeks does implementation take?

Request a schedule for your application from the insurer. Document checks and medical underwriting can affect the start date. Track the steps in the table and resolve open items before you announce that cover is active.

Can an employer switch during the policy year?

Ask the current insurer for its cancellation terms and the proposed insurer for a written offer. Confirm any refund terms and required notice. Set the change date after both positions are clear.

Does an existing condition stay covered when we switch?

Obtain the receiving insurer’s written decision for the proposed scheme. Record relevant exclusions and continuity terms, then check the position for each member whose care needs a specific answer.
